Terms of service

The agreement between the agency using this service and the person operating it.

The English text is the authoritative version of this document. It is not translated, because four translations of a legal notice are four texts that can disagree.

Who provides the service

CandidateBrief (candibrief.com) is provided by Ren Sike, an individual (sole proprietor) based in Beijing, People's Republic of China. In these terms “we” means the operator, and “you” means the business that creates a workspace and the people it invites to it.

The service

A web-based software service that turns a candidate’s uploaded resume into a branded profile, a de-identified version and a bundle of editable Word and PDF files, and keeps a record of which facts were confirmed by whom. It is delivered online and is available immediately after sign-up; nothing physical is shipped and no human service is sold.

It is provided to businesses, not to consumers. You must be at least 18 and authorised to accept these terms on behalf of the business. By creating a workspace you confirm the business has the candidate’s consent or another lawful basis for uploading each document.

Accounts

The workspace owner is responsible for everything done in the workspace and for who is invited to it. Keep sign-in credentials confidential, and tell us at the support address straight away if you think an account has been used without permission.

Trial, subscription and renewal

Every workspace starts on a free trial of 7 days and 10 source documents. No card is taken to start it, and it never turns into a paid subscription by itself: when it ends, processing stops until the owner chooses a plan.

Plans and prices are listed at candibrief.com/pricing. A paid plan is a subscription billed in advance, monthly or yearly, at the price shown at checkout. By completing checkout you authorise Waffo Pancake to charge that amount at the start of each period, automatically, until you cancel. The checkout page states the amount and the renewal interval before anything is charged, and a receipt is emailed for every charge.

Usage limits reset each calendar month. When a limit is reached, processing stops until the next month or an upgrade; you are never charged for overage.

Cancellation

The workspace owner can cancel at any time, online: Billing → Cancel subscription. You can also write to the support address from the owner’s email address. Cancelling takes effect immediately for future charges: no further renewal is charged, and the plan stays active until the end of the period already paid for.

Cancelling does not delete data. Files follow the workspace’s retention window, and everything can be exported until the workspace is deleted.

Payment and refunds

Payments are processed by Waffo Pancake (Waffo.com Limited), which acts as merchant of record: it is the seller on the receipt and handles the payment, the receipt and the sales tax or VAT. Card details are handled exclusively by Waffo Pancake's PCI-DSS compliant checkout and never reach us. The charge appears on the statement under Waffo Pancake's descriptor.

A full refund is available within 14 days of any charge, first or renewal: write to support@candibrief.com, no reason required. Duplicate charges, and charges for a period in which the service was unavailable for more than 72 consecutive hours, are refunded whenever they are reported. Refunds are acknowledged within two business days and issued through Waffo Pancake to the original payment method, usually within 5–10 business days. Statutory rights, where they give more, are not affected.

If a charge looks wrong, please write to the support address before contacting your bank; a confirmed billing error is corrected within five business days.

Your content

You own what you upload and everything the service generates from it. You give us only the limited permission needed to store, process and render it in order to provide the service to you. We do not use your content, or candidates’ data, to train any model, and do not use it for any other purpose.

Automated processing and AI

Extraction and structuring are deterministic rules. This deployment uses no third-party AI model. If an optional AI drafting assistant is ever enabled, its provider is named on the sub-processors page first, and anything it proposes is labelled as a proposal and has no effect until a person confirms it.

Acceptable use

You must not use the service to:

  • process a document you have no lawful basis to process, or that you obtained without the candidate’s knowledge where the law requires it;
  • add claims to a profile that are not true, or present a candidate’s qualifications falsely;
  • screen, rank or reject candidates on the basis of race, ethnicity, gender, religion, nationality, disability, sexual orientation or age;
  • sell, rent or broker candidate data, or build profiles of people from sources other than the documents they gave you;
  • upload malware, probe or overload the service, bypass its access controls, or reach another workspace’s data;
  • copy or resell the service, or use it to build a competing product.

What the service does not promise

Extraction is deterministic and reproducible, but it is not infallible. The service refuses to export a profile that has unresolved paragraphs or unconfirmed fields, which is a floor rather than a guarantee: confirming a field is your act, and the record of that act names the person who performed it.

Pixel-identical output across every word processor is not promised. The generated Word file is checked with an independent reader for its text, its page geometry and its fonts, and the PDF is checked the same way; a reader that substitutes a font will lay the page out differently.

Availability and liability

The service is provided “as is” and “as available”. To the extent the law allows, our total liability for any claim is limited to the fees you paid in the twelve months before the event giving rise to it, and we are not liable for indirect or consequential loss. Nothing here limits liability that cannot be limited by law.

Suspension and termination

We may suspend or close a workspace that breaches the acceptable-use rules, fails to pay, or puts the service or other customers at risk, and will say why unless the law prevents it. If we end the service for a reason that is not your fault, the unused part of a prepaid period is refunded pro rata.

You can delete your workspace at any time from Settings, or by asking at the support address; its data is then removed as the privacy notice describes.

Changes

A material change to these terms is announced by email to the workspace owner at least 14 days before it takes effect, and applies from the next renewal after that. If you do not agree, you can cancel before then. The date at the top of this page is the date of the current version.
